This policy sets out the basis on which we will process any personal data or usage information we collect from you, or that you provide to us, in connection with your use of our websites (the "Websites"), our mobile applications (the "Applications") or our services. Please read this notice carefully to understand your rights regarding your personal data and how we will collect, use, and process your personal data. If you do not agree with this privacy notice in general or any part of it, you should not access the Websites, Applications, or use our services.
What types of information do we collect and how do we use it?
- Information you give us. You may provide information by contacting us via our websites, application, or email, phone, social media, or otherwise, or by signing up for our newsletters or alerts, or by creating an account and then using our services.
- CCTV Information. Some of our vehicles or partner vehicles are equipped with outward-facing dashboard cameras. These dashboard cameras do not record inside the vehicles and do not record audio, but your image may be captured by them when you enter or exit the vehicle.
- If you use our services through your company, the information provided to us by your employer. For our corporate clients only, your employer may provide us with information about you when they sign up to use our services, such as your name and work email address.
- Information provided to us by a third party and/or collected from public records in the event of fraud or suspected fraud. In the event of fraud or suspected fraud, we may obtain information from third parties and public records to prevent and detect fraud.
To perform our contract with you, we will use your information:
- to communicate with you;
- to provide you with ground transportation and/or courier services;
- to create booking records and to send you booking acknowledgments, confirmations, receipts, and invoices;
- to keep records of lost items.
As it is in our legitimate interest to respond to you and ensure the proper functioning of our services and organization, we will use your information:
- to detect, prevent fraud and crime;
- for reporting and data analysis purposes;
- to administer our membership and loyalty programs;
- for insurance purposes;
- to comply with our legal and regulatory obligations and any other licensing authority where we provide services;
- to meet customer service requirements and handle complaints and feedback;
- to monitor and evaluate the quality of our service;
- to organize events for our clients;
- to pass on feedback such as ratings or compliments on our drivers;
- to register you for our newsletters or alerts;
- to contact you by phone, email, SMS, or via our applications;
- to identify our users;
- to personalize our services for you, to provide you with a vehicle matching your expectations and if you have opted for marketing, to send you promotions and offers tailored to your use of the services, discounts on airport bookings where you frequently travel;
- to enforce our terms and conditions;
- if you have opted for marketing, to communicate with you about products, services, promotions, events, and other news and information that we think may interest you;
- to provide third parties with statistical information about our users (but these third parties will not be able to identify an individual user from this information).
Technical usage information
When you visit our websites or use our applications, we automatically collect information sent to us by your computer, mobile phone, or any other access device. This information includes:
- your IP address;
- device information, including but not limited to, identifier, name, and type of operating system (including versions);
- mobile network information;
- standard web information, such as your browser type and the pages you access on our websites;
- mobile device UUID (Unique Download ID) and/or mobile device fingerprint;
- hardware models, software, file names and versions, preferred languages, unique device identifiers, advertising identifiers, serial numbers, and motion information from your device.
As it is in our legitimate interest to process your data to provide you with efficient services and useful content, we collect this information to:
- personalize our websites and applications to ensure that the content of our websites and applications is presented in the most effective manner for you and your device;
- monitor and analyze trends, usage, and activity related to our websites, applications, and services and to improve our services;
- administer our websites and applications, and for internal operations, including troubleshooting, data analysis, testing, research, statistical analysis, and surveys;
- keep our websites and applications safe and secure;
- measure and understand the effectiveness of the content we offer to you and others.
We receive information from other sources, such as those of our group companies, fraud prevention tools in the event of fraud or suspected fraud, analytics companies in the event of Wi-Fi data use in the car and in the event of telematics data (including impact accident detection, GPS location data, vehicle usage/driving style data, and odometer readings), from third-party data validation tools such as Experian and from publicly accessible data such as Companies House, the Land Registry, the Electoral Register, and information you post online.
Profiling
- Fraud prevention: we use a combination of risk screening tools and manual intervention to ensure that customer profiles are not fraudulent. To do this, we compare the personal data provided by customers with data fields such as name, email address, and mobile phone number and use them to accept or reject bookings.
- Marketing: we manually segment customers for marketing purposes based on travel history. We use this to make our advertising more relevant to market segments, such as promoting relevant types of trips.
The security of your personal data
Unfortunately, the transmission of information via the Internet or email is not completely secure. Although we do our best to protect your personal data, we cannot guarantee the security of your information transmitted via the websites, applications, email, or through our contact centers; any transmission is at your own risk. Once we have received your information, we will take appropriate technical and organizational measures to protect your personal data against loss, theft, and unauthorized use, access, or modification.
From time to time, we will host links to and from the websites of our affiliates or third parties. If you follow a link to one of these websites, these websites will have their own privacy policies and we decline any responsibility for these policies. Please check these policies before submitting any information to these websites.
How long do we retain your personal data?
To determine the retention period of your personal data, we consider several criteria to ensure that we do not retain your personal data for longer than necessary or appropriate. These criteria include:
- the purpose for which we hold your personal data;
- our legal and regulatory obligations in relation to this personal data, for example, any financial information reporting obligations and our regulatory obligations to local licensing authorities;
- whether our relationship with you is ongoing, for example, you have an active account with one or more of our brands, you continue to receive marketing communications, or you browse or purchase regularly on our websites/applications;
- whether you no longer participate or actively engage with our brands, for example, you do not open our emails, visit our websites, or share user-generated content;
- any specific request from you regarding the deletion of your personal data;
- our legitimate business interests in relation to managing our own rights, for example, the defense of any claims.
We will retain your information as follows:
- your customer profile and account information (including your technical usage data) for 7 years after your last use of our services;
- if you contact us by email, we will retain your data for 5 years;
- booking records, lost items, and claims for at least 12 months (we are required to retain this data to comply with our regulatory requirements).
Once you have terminated your use of our services, we store your information in an aggregated and anonymized format.
Complaints
If you wish to make a complaint about how we process your personal data, please contact us in the first instance at contact@connect-smartdrive.com and we will endeavor to deal with your request as soon as possible. This is without prejudice to your right to lodge a complaint with the Information Commissioner’s Office or the data protection authority in the EU country in which you live or work where you believe we have infringed data protection laws.
